We worked with our client to implement the Hyperautomation Hub (H2), to help them streamline over 100,000 documents. Using GenAI, H2 categorises and updates process documentation, enhancing clarity and reducing manual effort in maintaining standard operating procedures.

Setting the scene

Our client was responsible for maintaining an extensive amount of process documentation, totalling more than 100,000 documents. They operate in a heavily regulated sector and are required to establish detailed Standard Operating Processes (SOPs) and Work Instructions (WIs) for their operations.

Over time the number of documents continued to grow, making it challenging for our client to manage. The sheer volume also presented a significant burden when it was necessary to update or retire specific pieces of processes.

How we helped

To help the client, we collaborated with PwC US to develop an automated software assistant that significantly speeds up the documentation process. The assistant, Hyperautomation Hub (H2), helps our client organisations tame their content landscape documentation in two ways.

Firstly, it analyses, classifies and categorises existing documents and identifies processes, topics, roles and how they’re connected to each other. Secondly, it generates new documents, preserving the processes and details from legacy documents. It does this while removing duplicities, improving document clarity and standardising the format.

The following analytics are included in the platform:

1. Document clustering and topic modelling: H2 automatically identifies common topics and processes in legacy documents.

2. Document quality metrics: H2 calculates a reading complexity score, document clarity, page counts and other metrics. It also extracts roles, processes and technologies using AI to accelerate process or app rationalisation.

3. Form overlap analysis: H2 extracts all fields from form documents, calculates and visualises overlaps between them to simplify the forms and reduce their number.

4. Topic/Process connections: H2 identifies and visualises connections between topics and processes in the legacy documentation. Graph visualisation is available in 2D and 3D and is used to identify illogical and suboptimal process flows.

Impact and potential

Without integrating H2, our client would’ve continued with an extensive manua l effort to rationalise and generate their process documentation. Our solution reduced the content rationalisation effort from multiple months to a matter of weeks.

Our client also achieved an 65% efficiency gain in document creation by reducing manual effort in updating SOPs and work instructions.
